Records Management
The Records Management Department actively supports, promotes, and continues the development of policies and procedures of the records management program for the Plano Independent School District - from the creation of the records to the final disposition of the records - pursuant to the Local Government Records Act of 1989, Texas State Library and Archives Commission.
Requesting a Transcript or Records
Access to student records will be granted according to the Federal Educational Rights to Privacy Act (FERPA) and Plano ISD policies FL (Legal) and FL (Local) for student records.
Once a graduate has turned 18 years of age or is in a post-secondary setting, the parent may not request records of any kind. The Federal Law will allow us to accept a parent's signature in lieu of the student only when that parent brings in the most current 1040 tax form showing that the student is still a dependent for tax purposes.
Important Information to Note
- Diplomas are considered ceremonial documents, not a district record. The high school transcript, academic achievement record (AAR), is the official record of achievement and graduation. If you need an actual diploma for framing, you will need to contact the office manager at the senior high school you graduated from, and they will put you in touch with the company that produces the ceremonial certificates and class rings. (This process can take longer than 4 weeks.)
- In the United States, high school transcripts record all high school level courses, regardless of where the student earned the credit. These are comprised of courses taken in 9-12th grade and any high school level courses taken earlier.

- example 1: Student attends 9-10th grade at Vines High School, and 11-12th grade in Plano East Senior High. All credits from both schools will be on the Plano East High School transcript.
- example 2: Student attends 9-10th grade in California, and 11-12th grade in Plano ISD. All credits from both schools will be on the Plano ISD transcript.

ADULT or PAST Plano ISD Students - or past students in 11th & 12th grade at ANOTHER School District (NOT PISD)
- Requests can be submitted for transcripts, health records, and proof of enrollment.
- In accordance with Texas Education Agency guidelines, certified/official transcripts cannot be given to an individual.
- Certified/Official transcripts can only be sent directly from Plano ISD to an agency, business, college, or university.
- You must provide complete addresses. (This includes the name of the institution and/or person, street address or PO box, city, state, and zip code.)
- Proper identification is required for all requests.
- A valid picture ID is required to pick up transcripts or records.
- Information on the ID presented at pick-up must match the information submitted on the request form. (If you authorize someone other than yourself to pick up your records, you must provide their complete valid photo ID information on the form when you fill it out.)

- ACT/SAT scores are not included on the transcript. You will need to contact College Board or ACT to obtain your scores.
- If you would like your state test scores (ex: TAAS, TAKS, STAAR), please select "Yes" to the question "Include test scores with transcript?".
- It may take 5-7 business days to process your request.
- Requests are fulfilled in the order that they are received, with no exceptions.
- When requesting copies from a student's cumulative folder, the district Open Records Fees apply according to Plano ISD policy. We are not able to process cards; therefore, payment must be by cash or check.

Tip - If you have requested an emailed transcript and have not received it - check your Spam or Junk folder.

PAST Plano ISD Students / School Aged (K - 10th grade)
- If your student has left the district (withdrawn), you will need to email the registrar at the campus your student last attended.
- note: The secretary is the registrar on elementary campus, the counselor clerk is the registrar for middle and high schools, and at the senior high schools you would need to email either the registrar or assistant registrar.
- When requesting records, you will need to include the following:
- Full Name of Student
- Date of Birth
- Picture of Your (parent/guardian) ID - driver's license, passport, state ID card (not expired)
- Current Address
- Your Contact Information - should we need to contact you
- State where you would like the records to be sent.
- IMPORTANT: You must attach to your email the completed the FERPA Waiver for Electronic Transmission of Student Records.
- If your student has left the district (withdrawn), you will need to email the registrar at the campus your student last attended.

- OFFICIAL TRANSCRIPT requests to be sent to college or universities must be made through School Links.
